Financial Operations Manager – Family Office (DMCC, Dubai) Type: Full-time Location: Dubai (DMCC) Start: As soon as possible Minimum Experience Requirements (Mandatory) 1. 10+ years of total professional experience is required, with a significant part of it in finance, accounting, banking operations, or a similar hands-on finance role 2. Paid Personal and career development program Introduction A DMCC-based Single Family Office is hiring a Financial Operations Manager to handle everything finance-related across the family office, its related entities and the personal financial affairs of the Principals. This is a hands-on execution role in a fast-paced private office environment, not a supervisory or advisory position. The role covers payments, invoices, banking, cards, payroll, reconciliations, reporting, and coordination with external accountants, tax advisors, banks, and brokers in the UAE and abroad. The position is suitable for someone highly disciplined, precise with numbers, absolutely reliable with deadlines, and comfortable switching between spreadsheets, banking portals, and practical errands such as bank visits when required. Role Summary 1. You will own the day-to-day financial operations of the office: every invoice collected, verified, approved, paid, and filed; every salary and recurring payment out on time; every account funded in advance; every transaction reconciled and properly documented for the accountants. 2. You will be expected to take tasks seriously, follow instructions accurately, catch errors early, and close tasks properly. Mistakes in this role have direct financial consequences — a missed payment, a bounced cheque, or an unfunded account is unacceptable. 3. You will work under the supervision of the Senior Operational Manager and handle financial tasks assigned by the Principals and the Senior Operational Manager. Key Responsibilities Payments & Invoices 1. Manage the full invoice cycle: collect invoices from vendors and portals, verify details, obtain approvals, execute payments, and archive properly 2. Maintain the recurring payments and critical bills tracker (rent, utilities, cooling, telecom, cleaning, subscriptions, service providers) so that nothing is ever missed 3. Monitor upcoming large payments and post-dated cheques, and ensure accounts are funded in advance so no cheque bounces and no autopay fails 4. Track missing invoices, chase vendors and providers, and keep the invoice archive complete and audit-ready Banking & Cards 1. Operate multiple accounts across UAE and international banks: transfers, standing orders, cheque management, and account funding 2. Manage the corporate and supplementary card program: card issuance, limits, expense category allocation, refund tracking, and statement checks 3. Handle bank requests, KYC and compliance queries, and follow-ups; support account openings and new banking products 4. Monitor balances across entities and accounts, including foreign accounts, and flag exceptions immediately Payroll & Team Finance 1. Run monthly payroll (WPS) accurately and on time, including salary transfers, reimbursements, and tracking of employee advances and loans 2. Maintain salary, bonus, and increment trackers, and coordinate payroll in other jurisdictions with external providers Accounting, Reconciliation & Reporting 1. Prepare the monthly closing package for the external accountants: bank, card, and broker statements, classified transactions, and matched invoices 2. Reconcile bank statements against invoices line by line, classify transactions, and resolve discrepancies 3. Verify financial statements and reports prepared by external accountants before they are finalized 4. Maintain clear cash and expense reporting across entities and accounts Tax, Compliance & Corporate 1. Support VAT and corporate tax matters with external advisors, including registrations, filings, and record-keeping 2. Coordinate cross-border requirements with advisors (e-invoicing systems, foreign payroll taxes, US trading-related filings) 3. Prepare supporting documents for board resolutions (capital injections, shareholder loans, major payments) and keep corporate financial records organized Brokerage & Investment Operations 1. Support brokerage and market data accounts: account openings, funding transfers between banks and brokers, statement collection, and invoice handling 2. Assist with banking and private wealth relationship processes as directed In-Person Duties Execute in-person tasks when required: bank visits, cheque deposits, document collection, and stamping and filing of invoices at the DMCC office or other assigned locations Working Hours & Availability 5 working days per week 2 days off per week Working hours are flexible and task-based, not fixed office hours High availability and fast response are required, including evenings, weekends, and public holidays when needed Payment runs, payroll dates, and month-end deadlines are non-negotiable and must be met without exception Most of the time, work will be remote, but the manager must be ready to attend the DMCC office, banks, or the Principals' premises to execute tasks in person when required The candidate must be reachable throughout the day and available to respond, act, or follow up immediately on assigned duties What We Expect 1.
