The residences accountant is responsible for safeguarding the residence’s assets and financial resources to ensure that homeowners’ interests are protected while maintaining Four Seasons’ reputation as the property manager. The role ensures that the residences are operated as stipulated in the project governing documents and Four Seasons management agreements. The residences accountant assists the regional director of finance in administering all financial aspects of the residential operation, ensuring that local and corporate policies and procedures are observed and that the financial and legal integrity of the business is maintained.

• Handle the day-to-day financial operations of the residences.
• Prepare management reports and analyses to assist management in its decision-making process.
• Continuously review and validate methods for apportioning common costs between the resort and residences.
• Ensure appropriate financial controls and compliance.
• Review all legal contracts for the residences, follow up on renewals, and ensure their safekeeping.
• Handle vendor payments and periodic vendor account reconciliations.
• Coordinate with the purchasing team to negotiate costs incurred for the residences.
• Manage funds and ensure monthly reconciliations for all balance sheet accounts are prepared and signed off in accordance with policy, with special attention to bank accounts.
• Monitor accounts receivable aging and the billing and collection of service charges and other charges in line with governing documents and local standards, while maintaining adequate cash flow.
• Maintain a capital reserve account for the replacement of furniture, fixtures, and equipment, plant, and machinery. Participate in longer-term planning for infrastructure replacement, as appropriate and in compliance with governing documents, including a third-party reserve study if applicable.
• Prepare month-end statements and balance sheet reconciliations.
• Handle period closing and prepare monthly, quarterly, and annual financial reports.
• Prepare required financial statements for presentation to residence owners at their general meetings. Attend board and/or member meetings.
• Assist the director of finance with profit and loss preparation and presentation for the residence entity during month-end, as detailed in month-end tasks.
• Ensure actual expenses remain within budget by preparing regular forecasts. Monitor and control residence expenses to ensure the service charge budget is respected.
• Process payroll for residence accounting employees.
• Post all month-end entries for the residence entity, including bank transactions, assessments, fees, and accruals.
• Review the residence profit and loss statement with the director of finance and director of residences.
• Prepare the budget for the residence entity.
• Assist with resort budget preparation to ensure proper allocations to the residence entity.
• Ensure actual expenses remain within the approved budget through regular forecasting and financial monitoring.
• Continuously monitor and control residence expenses to ensure compliance with the service charge budget.
• Understand the legal implications of the management agreement, residence constitution, and bylaws when discussing matters with the residence’s lawyers.
• Assist homeowners with daily inquiries regarding the homeowners’ association.
