Duties & Responsibilities

1.Bookkeeping and Financial accounting
- Invoicing clients
- Preparing payments to suppliers thru bank transfers & cheques.
- Handling petty cash
- Reviewing bank statements, bank reconciliations and managing all cash flows.
- Preparing monthly, quarterly and yearly financial statements and provide documentations required by auditors
- Has knowledge in filing UAE VAT
- Preparing and reviewing agreements (consignment, loan, production, etc.)
- Has in depth knowledge in budgeting and forecasting in monthly, quarterly, yearly or upon request reports per events/project of the company and able to interpret and explain data using financial analysis tools (ratios, charts, diagrams, etc.), with focus on cost savings and overall company benefits

2. Shipping and logistics
- Manage artwork shipments and logistics from the artists locally and internationally for the gallery’s exhibition & art fairs,
- Coordinate delivery and shipment of sold artworks bought by the client locally and internationally.
- Finding ways to save in shipping costs without compromising minimum security and adhering requirements

3. Inventory Management
- Manage the artwork inventory of the gallery both physically and electronically using the database software.
- Has working knowledge in preparing condition reports, delivery notes and insurance applications

4. General Admin
- Assisting in PRO activities with the company PRO: cancelling and renewing employee visas, company license registration and any other government requirements
- Coordinating with all vendors and suppliers
- Arranging travel tickets, hotels and assisting in sourcing materials needed by artists, guests or employees
- Overall management of day to day operations, including but not limited to sourcing of office supplies, labors and other materials needed by the company as need arises
- Has in depth knowledge in UAE labor laws applicable to employee benefits calculations and all other HR duties

Following list of job duties is not exclusive or exhaustive and the post holder will be required to undertake tasks that may reasonably be expected within the scope of the post.

Job Requirements:
• B.Com Graduate, must be proficient with MS Office, particularly Excel
• At least one year experience in accounting and finance
• Mac User
• Has working knowledge in accounting system such as Quickbooks or Peachtree
• Art gallery or Logistics experience is an advantage
• Multi-tasker and has strong analytical and decision-making skills
• Can work under pressure with minimum supervision
