Job Title : Finance Assistant
Status: Full-time
Reports To:  Finance Officer
Location:  ADEN Main Office
Deadline: 10/08/2025

Mayar Foundation for Development is a non-governmental, non-profit organization licensed under No. 1019.It was established on December 12, 2012, by the Ministry of Social Affairs and Labor. Operating within the Republic of Yemen, the foundation specializes in youth capacity building and the development of distinguished community leaders who contribute to the advancement of society across various aspects of life. The foundation provides emergency relief, rehabilitation, and a range of developmental assistance. It also responds to the urgent needs of the population .Its main office is located in Aden Governorate – Al-Mansoura – Rimy .

Summary:

The Finance Assistant is responsible for supporting the daily financial and accounting operations of the organization. This role ensures that all payments and financial transactions are properly documented, compliant with organizational policies, and accurately recorded in the financial system. The Finance Assistant plays a key role in maintaining financial integrity, assisting in budget tracking, audits, reporting, and ensuring timely and secure handling of payments and reconciliations.

Key Duties and Responsibilities:

1. Daily Financial Operations:

  • Process daily payments, ensuring all supporting documentation complies with Foundation policies and procedures.
  • Prepare and verify payment vouchers and cheques while ensuring the accuracy and adequacy of supporting documents.
  • Accurately enter accounting entries into the approved accounting system.
  • Manage and maintain cash and bank accounts.
  • Perform weekly and monthly cash counts.
  • Assist in tracking project expenditures against approved budgets.

2. Documentation and Archiving:

  • Ensure all financial documents and records are filed in accordance with the Foundation's policies and are easily retrievable for audit and internal purposes.
  • Scan and save all vouchers, contracts, and financial supporting documents regularly to SharePoint.
  • Maintain both soft and hard copies of accurate financial and accounting records.

3. Reporting and Compliance:

  • Assist in the preparation of periodic financial reports (monthly, quarterly, and annual).
  • Undertake timely analysis and filing of all financial documentation.
  • Assist in reviewing accounting procedures to ensure compliance with relevant accounting laws, donor requirements, and internal policies.
  • Support both internal and external audits by retrieving necessary documentation.

4. Banking and Coordination:

  • Liaise with Alkuraimi and other banks to facilitate bank payments, deposit cheques, encash funds, and update banking procedures.
  • Maintain up-to-date knowledge of bank procedures, interest rates, and currency exchange rates.
  • Coordinate with field offices to process any payment requests.

5. Administrative and Other Support:

  • Participate in annual asset inventories and stock counts.
  • Notify the Finance Officer of any breaches of policy, internal control issues, misconduct, or other concerns.
  • Temporarily assume the duties of other finance team members when required.
  • Perform any other tasks assigned by the direct supervisor.

QUALIFICATIONS AND EXPERIENCE:

  • Minimum of 2 -3 years’ relevant experience in a donor grants management role.
  • Excellent interpersonal, written and verbal communication skills.
  • Experience in managing financial transactions.
  • Good financial analysis skills.
  • Good knowledge of financial reporting systems.
  • Ability to work under pressure and meet deadlines.
  • Ability to work well with people from diverse cultures and communicate effectively.
  • Ability to work independently and as part of a team.
  • Good computer skills in MS Office.
  • Good computer spreadsheet skills with exposure to computer based accounting systems (ONYX ERP).
  • Excellent communication, including report writing skills.
