About the role

I’m an entrepreneur based in Abu Dhabi/Dubai seeking a hands-on English–French Personal Assistant who is reliable, discreet, and fast on WhatsApp. In addition to classic PA tasks, you will coordinate with our French accountant and handle French administration follow-ups (URSSAF, INPI/Guichet unique, Greffe, impots.gouv, bank). The job mixes remote work (documents, scheduling, research, accounting packs) with on-site tasks (errands/meetings in AD/DXB). Great for someone organised who wants a stable, budget-friendly role with clear tasks and growth potential.

Key responsibilities

Calendar & scheduling: plan meetings across time zones, send reminders, handle changes.

Inbox & WhatsApp management: draft replies in English & French, follow up, keep a tidy inbox.

Meeting support: prep agendas, take notes, write action items, circulate minutes.

Travel & logistics: research options, book flights/hotels, arrange drivers/visas when needed.

Errands & coordination: collect/drop documents, liaise with service providers, basic government portal tasks.

Documents & research: format slides/docs, maintain spreadsheets, run concise desk research.

Expenses & light admin: expense tracking, simple reconciliations, invoice follow-ups.

Translations EN/FR: emails, short docs, captions.

Basic social & presentation support (nice to have): tidy LinkedIn posts, polish slides in PowerPoint/Canva.

France admin & accounting coordination (new)

Monthly “accounting data pack” for France: collect invoices/receipts, name & file docs, maintain an Excel/Sheets ledger, reconcile against bank statements, export transactions.

TVA / filings support: prepare inputs and checklists for the expert-comptable (e.g., TVA CA3/DES if applicable)—you prepare data, the accountant files.

Company admin: assist with Kbis updates, INPI/Guichet unique forms, Greffe requests, UBO register updates, simple letters, appointment booking.

Bank & vendors: download monthly relevés, classify payments, draft concise FR emails to the bank, suppliers, or administration; track due dates and reminders.

Compliance hygiene: keep a shared folder structure and a monthly checklist; no missing documents; deadlines met.

Must-have qualifications

Fluent English and French (spoken & written).

Based in the UAE (Abu Dhabi or Dubai).

Proven experience with French administration or a French company (emails & calls in French with URSSAF/INPI/Greffe/bank/impots.gouv).

Strong organisation & reliability; excellent email drafting in EN & FR.

Tools: Google Workspace, Microsoft Office, WhatsApp; solid Excel/Sheets.

Discretion & confidentiality; comfortable handling sensitive information.

Availability in daytime hours, with occasional peak-time flexibility.

Nice-to-have

UAE driving licence (travel between AD/DXB).

Prior PA/EA/admin experience in the UAE.

Basic bookkeeping exposure (QuickBooks/Sage/Quadratus) and familiarity with the Plan Comptable Général (plus, not required).

Notion, Canva, simple slide design.

Comfort with UAE portals (TAMM, DubaiNow).

Arabic a plus.

Work set-up

Hybrid: remote digital work + in-person errands/meetings when needed.

Hours: FT or PT; schedule agreed in advance; flexibility appreciated.

Equipment: bring your own laptop/smartphone; approved local travel reimbursed.

Contract & compliance

Open to family/own/freelance visa; work permit can be arranged per UAE regulations when required.

We hire strictly within UAE law and issue the appropriate paperwork.

Expected salary (FT or PT) and preferred hours.

What success looks like (first 30–60 days)

Calendar/inbox under control; proactive reminders; clean templates.

France accounting pack delivered by the 5th each month, complete and reconciled.

Kbis/INPI/Greffe/URSSAF follow-ups logged; no missed deadlines.

I spend less time on admin, more on priorities.
