Action Against Hunger is a humanitarian, non-governmental, non-political, non-denominational and non-profit making organisation working in the Palestinian Territory since 2002.
Action Against Hunger is recruiting for the Gaza strip a
Human Resources Assistant
General Objective:
In the framework of Action Against Hunger emergency response in Gaza Strip, the HR assistant will support emergency recruitments, management of daily labor and adherence to Action Against Hunger HR procedures, guidelines and regulations.
Tasks and responsibilities:
Objective 1: Support the recruitment process
- Arrange new joiners induction plan by coordinating with the relevant departments for technical inductions, room booking, share calendar invites, ….
- Taking part in conducting HR inductions
- Ensure all onboarding documents are collected, signed, and properly archived in both the digital and physical HR System.
- Help with the preparation and posting of job announcements, scheduling of written tests and interviews, and the drafting of job offers according to AAH recruitment policies.
- Support in other parts of the recruitment process when needed
Objective 2: HR administrative management
- Ensure that staff files up to date by ensuring that all required documents are signed and properly archived in the HR system (PeopleADS, Teams, …) both physical and digital, in line with AAH archiving procedures.
- Support the HR Officer in drafting employment contracts, amendments, extensions, and job description and ensure they are properly archived.
- Support the HR Office in the annual evaluations and end of probation period processes as requested.
- Help prepare HR documents as needed, such as employment certificates, probation letters, and exit checklists, and ensure proper filing.
- Follow up with the Finance department to ensure timely preparation and signing of timesheets in compliance with donor requirements.
- Ensure proper tracking and archiving of staff attendance and leave records according to AAH Internal Regulations.
Objective 3: Payroll Management
Under the supervision of the HR Officer:
- Assist in ensuring all documents needed to prepare payroll are ready on time to prepare the monthly payroll.
- Distribute salary slips to staff in a timely manner.
- Ensure that all payroll-related documents are uploaded and up to date in the HR system (PeopleADS, Teams, …) both physical and digital.
Objective 4: Training and Development
- Support in the logistics of organize training sessions for staff, such as room booking, sending invitation, follow up on attendance, …
- Ensure all training-related documentation are properly archived both digitally and physically.
Objective 5: Health Insurance management
- Follow-up on the base health insurance policy, including documentation and staff inquiries.
- Collection and follow up on staff claims and reimbursement
- Ensure all health insurance-related documents are kept up to date and properly archived.
Objective 6: Daily labor management
- Maintain the confidentiality of all sensitive HR information at all times.
- Ensure compliance with the mission & HR rules and regulations, and policies.
- Assist in audit requests for HR when requested.
- Translation of documents, letters, emails upon request.
- Promote the application of Duty of Care principles in accordance with AAH’s staff wellbeing framework.
- Support the HR Officer and HR manager in any other relevant task requested.
