Position Title: Administration & Finance Assistant
Location: Ramallah, Palestine
Employment Type: Full-time
Reports To: Finance & Operations Manager

Position Summary

The Administration & Finance Assistant supports NOVA’s operational and financial systems through accurate documentation, procurement support, and day-to-day administrative tasks. The role contributes to maintaining compliance, supporting internal controls, and ensuring smooth operational workflows.

Scope of Work / Key Responsibilities

1. Financial Processing

  • Maintain petty cash, payment requests, invoices, and receipts.

  • Assist with bookkeeping and monthly reconciliations.

  • Ensure proper supporting documentation is prepared for payments.

2. Procurement & Logistics

  • Prepare RFQs, quotation tables, and procurement files.

  • Support vendor communication and purchase processing.

  • Coordinate logistics for events, workshops, travel, and fieldwork.

3. Administration & Office Management

  • Maintain HR files, attendance sheets, and administrative records.

  • Support onboarding processes and staff documentation.

  • Maintain office supplies, equipment, and service records.

4. Compliance & Audit Support

  • Prepare documents for audits and routine checks.

  • Maintain orderly electronic and physical filing systems.

 متطلبات الوظيفة

Required Qualifications

  • Diploma or bachelor’s degree in accounting, business administration, or related field.

  • Minimum 2 years of experience in administrative or finance roles.

  • Strong Excel skills and basic accounting knowledge.

  • High attention to detail and documentation quality.

  • Good communication skills in Arabic and English.
