Administrative and Finance Assistant

 Location: Occupied Palestinian territory – WB/Jericho

 

Summary

Medicos Del Mundo (MDM SPAIN): is an international humanitarian organization, working to make effective the Universal Right to Health. MdM is a non-profitable, non-governmental, non-political and non-confessional organization operating under the principles of humanity, neutrality, impartiality and independence.

Mission

The Admin & Finance Assistant will be working under the direct supervision of the Admin and Finance Officer and the overall supervision of the base coordinator. He/ She will assist in the supporting admin & Finance functions related to the base in West bank and performs other duties as assigned within the scope of the Finance and Administration department.

Geographical scope of intervention

The position will be based on the field – West bank / Jericho base.

Functions

Finance Support

-         Follow day-to-day financial accounting transactions and assist with the effective and efficient functioning of the admin department.

-         Provide administrative and financial support to the base and the department, including but not limited to, preparing payments, following up on expenditures and filing.

-         Recording, codification and filing of all invoices and receipts of expenditure according to the MdM-S financial procedures.

-         Ensure all financial transactions are properly documented and entered to the financial system.

-         Encode financial transactions in monthly using MdM applied reporting tools and support preparing bank reconciliations on monthly basis.

-         Arrange and archive financial documents regularly, ensure proper filing and make sure that they are in good order and upload them to SP.

-         Support following payments requests and ensure that the relevant criteria are met is obtained before issuing payments.

-         Support weekly and monthly closure of petty cash.

-         Support with partners follow up on financial documents and reports verification against submitted financial documents.

-         Keep the admin officer in the base informed of all the correspondence and non-routine financial issues.

Administrative Support

-         Carry out various administrative tasks (filing, archiving, follow-up of documents…) to guarantee efficient support to the department.

-         Work in close collaboration with the mission HR officer to facilitate some HR functions and documents records and archiving in the base.

-         Support the full compliance of administrative activities with MDM rules, regulations, policies and strategies.

-         Performs other duties as assigned within the scope of the Finance and Administration department.

-         Translate verbally and written from Arabic to English and from English to Arabic when necessary.

-         Translation of financial documents to English where needed.

 متطلبات الوظيفة

Required qualifications

Academic / Professional background:

  • Bachelor’s degree in accounting, finance or a relevant field, and a strong knowledge of financial principles.
  • At least 2 years of experience in finance field in NGOs.

Specific Skills:

  • Ability to work with the team with positive collaboration.
  • Flexibility and Ability to cope with difficult security context.
  • Task independence but also open to receive feedback and technical support.

Requirements

Language: Fluent speaking and writing English, native Arabic.

Computer requirements: Excellent command of Microsoft Office Package (Word, Excel, Power Point, Outlook)
