Job Summary

The Account Administrator will support the financial and administrative operations of the real estate business by managing accounts, maintaining accurate financial records, and coordinating with property managers, agents, tenants, and external vendors. This role requires strong attention to detail, organizational skills, and a solid understanding of real estate accounting processes.

Key Responsibilities

Accounting & Financial Administration

• Maintain and reconcile accounts payable and accounts receivable

• Process invoices, payments, rent collections, and expense reimbursements

• Prepare monthly financial reports, statements, and summaries

• Assist with budgeting, forecasting, and cash flow tracking

• Reconcile bank statements and trust accounts (where applicable)

• Ensure compliance with real estate accounting regulations and company policies

Property & Tenant Accounting

• Track rental income, security deposits, and lease-related payments

• Maintain accurate tenant and property financial records

• Assist with rent arrears follow-ups and payment reminders

• Coordinate with property managers regarding financial discrepancies

Administrative Support

• Maintain organized financial and property documentation

• Support audits, tax preparation, and year-end reporting

• Liaise with external accountants, auditors, and regulatory bodies

• Provide administrative support to real estate agents and management

Systems & Data Management

• Use property management and accounting software to record transactions

• Ensure data accuracy across financial and property management systems

• Generate reports for management review and decision-making

Qualifications & Experience

• Diploma or degree in Accounting, Finance, Business Administration, or related field

• 2+ years of experience in an accounting or administrative role (real estate preferred)

• Knowledge of real estate accounting, trust accounting, or property management systems is an advantage

• Proficiency in accounting software and Microsoft Excel

• Strong numerical, organizational, and communication skills
