Overview:
A dual-role position handling administrative support, staff visa coordination, and light accounting assistance. Works directly with the company owner and the finance team.
Key Responsibilities:
1. Administration & Secretarial Duties
• Manage daily office correspondence and handle calls, emails, and scheduling.
• Follow up and coordinate hospital and personal appointments for the company owner’s family.
• Maintain organized filing systems for documents, records, and communication.
• Handle any administrative tasks assigned by the company owner or manager.
2. Staff Visa & HR Coordination
• Monitor visa expiry dates for all staff and ensure timely renewals.
• Coordinate with PRO/government portals and prepare required documents for visa processing.
• Maintain updated records of passports, IDs, work permits, and related documentation.
3. Accounting Support
• Assist the accountant in basic tasks such as:
o Preparing bank reconciliations.
o Filing accounting records into their respective files (invoices, receipts, contracts, statements).
o Updating simple spreadsheets when requested.
• Support routine financial organization and documentation.
4. General Support
• Handle tasks assigned directly by management, even if outside the above scope, provided they fall within the role’s administrative nature.
• Ensure confidentiality, accuracy, and professionalism in all duties.
Requirements:
• Strong organizational and multitasking skills.
• Good communication skills (written and verbal).
• Basic understanding of accounting processes.
• Proficiency in MS Office (Word, Excel, Outlook).
• Ability to work independently and handle sensitive information.
