About The Center for Mind Body Medicine

CMBM is an international humanitarian organization that works with health- and trauma-healing-related projects. CMBM responds to the world’s worst humanitarian crises, helping to restore mental health, safety, education, and economic wellbeing, and power to people devastated by conflict and disaster.
CMBM adheres to the main principles of humanitarianism and medical ethics, in particular the principles of impartiality.
CMBM services are multisectoral, including Health, protection and education sectors. CMBM focuses on Healing the Wounds of War program with the various ministries and NGOs since 2005 to develop their psychosocial well-being, improve the resiliency of victims of war, heal war scars, and helping the helpers.

Job description:
The admin & finance assistant will be responsible for managing the financial records for CMBM, ensuring accuracy and compliance with internal and donor requirements. This role involves maintaining financial documentation, processing transactions, assist in preparing financial reports, and support the overall financial management of the project.

Key Responsibilities:

  • Maintain and update financial records, including ledgers, receipts, invoices, and other documentation.
  • Ensure all financial transactions are recorded accurately and promptly.
  • Ensure payment and correspondent has electronic copies and saved and secured.
  • Process accounts payable and receivable, including invoices, payments, and receipts.
  • Manage the monthly petty cash and keep sufficient documentation for all transactions.
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Assist in the procurement procedure and the logistic issues
  • Ensure compliance with financial policies, procedures, and regulations.
  • Assist in audits by providing necessary and sufficient financial documentation and explanations.
  • Keep up to date with changes in financial regulations and ensure the organization’s practices are compliant.
  • Assist in the development and monitoring of budgets.
  • Prepare timesheets and salary slips for project staff.
  • Track expenses against budgets and provide variance reports.
  • Process payroll and ensure all employee payments are made accurately and on time.
  • Maintain payroll records and handle related queries.
  • Assist the Finance Manager in preparing financial reports for donors as per their requirements.
  • Ensure donor funds are utilized in compliance with agreements and restrictions.
  • Provide financial support and guidance to project teams.
  • Ensure the supply of input material conditions for the Project Office such as stationery, electricity, water, transportation (if any);
  • Arrange storage and systematize project document
  • Provides administrative and clerical support to the process of preparation and drafting of project ideas, work plans, budgets, revisions, progress reports and summaries.
  • In charge of meeting minutes during all staff and external meetings.
  • Maintains all proper filing system.  
  • Assists in the preparation of documents for use in the formulation of the work plans, progress reports, and periodic reviews
  • Assists in scheduling of meetings and maintaining contain with project key players.
  • Assist in preparing and organizing financial documents such as invoices, receipts, and expense reports.
  • Prepare correspondence, reports, and presentations.
  • Collects, assesses and analyses information related to the programs.
  • Maintains records on the general political situation of Gaza and developments of relevance to the programs.
  • Assistance in the organization of workshops and training activities
  • Assists in the preparation and logistics for visiting expats and missions through liaison with local authorities
  • Makes travel and hotel reservations, prepares travel orders and assembles information pertinent to the purpose of travel.
  • Ensures all follow-ups are done in a timely and organized manner as assigned by Resident Manager.
  • Participate in other activities as assigned by the project leader.
  • Prepare monthly expense overviews for resident manager
  • Contribute to online stories describing CMBM projects in Gaza for CMBM website
  • Contribute to representing CMBM in NGO network meetings
  • Assist and prepare the report and reports information with liaison of the program staff.
  • Maintain daily management and operations of CMBM office
  • Prepare and follow-up agenda of Country Director
  • When requested, act as contact point for partners and authorities, passing on urgent and critical issues to their supervisor, but able to provide support and advice to partners on some issues

Qualifications and Experience:

  • Bachelor’s degree in Business, Accounting, Finance, or a related field.
  • At least 4 years of experience in accounting or finance, preferably in the NGO sector.
  • Knowledge of government procedures and Palestinian Taxes.
  • knowledge and experience of the QuickBooks accounting system is preferred
  • Proficiency in accounting software
  • Strong knowledge of accounting principles and practices.
  • Excellent numerical and analytical skills.
  • Attention to detail and high level of accuracy.
  • Good organizational and time management skills.
  • Strong interpersonal and communication skills.
