تفاصيل الوظيفةWe are looking for a proactive and detail-oriented Admin & Finance Assistant to manage the day-to-day financial, administrative, and operational functions of our company. The ideal candidate is organized, reliable, and comfortable handling both numbers and people.
Manpower & HR administration
1. Manage staff deployment, attendance & leave records
2. Process monthly payroll and expense claims
3. Handle accommodation and employee welfare matters
4. Maintain employee files and HR documentation
5. Support onboarding and offboarding procedures
Client accounts & receivables
- Follow up on outstanding client payments and dues
- Prepare and issue sales invoices and receipts
- Perform client account reconciliations
- Maintain accurate records of all collections
- Coordinate with clients on payment schedules
Company admin & compliance
- Manage visa processing, quota, and work permits
- Oversee trade license renewals and authority filings
- Liaise with government entities (MOHRE, DED, etc.)
- Organise and maintain company contracts and documents
- Track renewal dates and compliance deadlines
Supplier & vendor management
- Coordinate with suppliers for orders and delivery
- Process and track supplier payments and invoices
- Perform supplier account reconciliations
- Resolve billing disputes and follow up on discrepancies
- Maintain an organised vendor database
Accounting & tax compliance
- Prepare and file quarterly VAT returns (UAE FTA)
- Maintain books of accounts and general ledger entries
- Assist in bank reconciliations and cash flow tracking
- Support year-end audit and financial close processes
- Ensure records comply with UAE accounting standards
Reporting & office management
- Prepare monthly financial and management reports
- Compile payroll, client, and supplier summaries
- Manage office supplies, petty cash, and admin tasks
- Handle correspondence, calls, and scheduling
- Support senior management with ad hoc tasks
Requirements
- Relevant experience and qualification
- 2 years of relevant experience in a similar admin/finance role in the UAE
- Proficiency in QuickBooks
- Strong command of MS Excel, Word, and Office Suite
- Working knowledge of UAE VAT regulations and FTA filing procedures
- Excellent verbal and written communication in English; Urdu/Hindi is required
- High attention to detail, strong numerical accuracy, and ability to meet deadlines
- Able to work independently and handle multiple responsibilities simultaneously
- Own visa is preferred
