We are seeking a highly organized and detail-oriented Administrative Assistant/Accountant to join our dynamic team in Dubai, UAE. The successful candidate will be responsible for ensuring efficient office operations while also managing financial records and transactions. This role requires a blend of excellent communication skills, strong analytical abilities, and a solid understanding of accounting principles.
Responsibilities:
- Manage daily office operations, including scheduling appointments, answering phone calls, and responding to emails to ensure smooth communication.
- Maintain accurate financial records, including accounts payable and receivable, and ensure timely processing of invoices and payments.
- Assist in the preparation of financial reports, budgets, and forecasts to support management decision-making.
- Coordinate with external vendors and clients to facilitate contracts and agreements, ensuring compliance with company policies.
- Organize and maintain filing systems, both physical and electronic, to ensure easy access to important documents and records.
- Perform data entry and maintain databases to ensure the accuracy and integrity of financial information.
- Support the accounting department with month-end closing processes and reconciliations to ensure accurate financial reporting.
- Prepare and submit tax documents and ensure compliance with local regulations and laws.
- Assist in payroll processing and ensure timely payments to employees and contractors.
- Contribute to team projects and initiatives to improve office efficiency and enhance overall productivity.
Preferred Candidate:
- Strong organizational skills with the ability to multitask and prioritize effectively in a busy work environment.
- Excellent verbal and written communication skills, with a customer-focused approach.
- Proficient in accounting software and Microsoft Office Suite, particularly Excel, for financial analysis and reporting.
- Detail-oriented with a strong analytical mindset to identify discrepancies and resolve issues promptly.
- A proactive problem-solver who can work independently as well as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Prior experience in administrative support and accounting roles, preferably in a fast-paced setting.
- Strong time management skills, with the ability to meet deadlines consistently.
- Willingness to learn and adapt to new processes and technologies as needed.
- Knowledge of local labor laws and regulations related to accounting and finance is a plus.
