Position: HR Assistant Gaza

Department: Human Resources

Duty Station: Gaza

Reporting to: HR Coordinator

Start Date: ASAP

Contract: 6 months initial contract, open to renewal

Salary: between 4,368 and 6,240 per month depending on experience

WeWorld is an independent Italian organization that has been working in international cooperation and humanitarian aid for 50 years. Present in 27 countries with more than 120 projects, WeWorld operates in the following areas of assistance: humanitarian aid (prevention, emergency relief and rehabilitation), food security, access to water, health and hygiene, education, human rights (gender equality, prevention and combating violence against children and women, migration), global citizenship education, quality teaching and international volunteering. WeWorld works mostly with girls, boys, women and youth, actors of change in every community for a fairer and more inclusive world. WeWorld supports people overcoming emergencies and guarantees a life with dignity, opportunities, and a better future through human and economic development programs, in the framework of the 2030 Agenda. Since 2020, WeWorld has rapidly expanded its operations in the West Bank and Gaza Strip, leading to a need for additional personnel to assist its current emergency operations, and to lead the future expansion in the development area.

Purpose of the Role:

The HR Assistant plays an essential role in supporting the organisation’s commitment to accountability, safeguarding, and effective programme delivery. The position provides suppoer across recruitment, documentation, and HR compliance, ensuring that all processes are carried out with accuracy, transparency, and adherence to organisational and donor requirements. The HR Assistant contributes to a safe, organised, and well-functioning environment.

Main Tasks and Responsibilities:

Recruitment and Onboarding

  • Assist in posting job advertisements on relevant platforms and channels for employees, volunteers, daily workers, and interns
  • Support with CV shortlisting and coordination with hiring committee members
  • Coordinate interview schedules and logistics, including arranging venues and communicating with candidates
  • Support with development and coordinator of onboarding plans for new hires, including monitoring and follow-up of PSEAH and Safeguarding training completion
  • Ensure all paperwork is completed and filed for successful candidates, including but not limited to self-declaration forms, vetting, IDs, hiring committee declarations, and interviews

Employee Records and Compliance

  • Assist in dissemination and adherence to HR-related communications, such as memos, announcements, and policy updates
  • Notify HR Officer and HR Coordinator of relevant changes in monthly payroll for Gaza staff
  • Support in filing and organising documents related to personnel, including contracts amendments and other HR-related paperwork, both physically and digitally in the HR folders
  • Alert relevant departments of upcoming contract expiry dates for service contractors and volunteers, consolidating recommendations and drafting contract extensions based on programmes recommendations and confirmed budget availability
  • Consolidate and verify timesheets and attendance sheets monthly, sharing relevant documents with HR and Finance teams for payment
  • Support with document preparation for training courses, including invitations, registration sheets, and course completion certificates
  • Support programmes teams with quality control measures of programme documentation, ensuring all mandatory columns are accurately completed, appropriate use of logos, and supporting with formatting, providing feedback to programmes teams where relevant

General Administrative Support

  • Assist in data entry tasks related to HR, including reports and HR matrix’s
  • Support with gathering information for audit requirements
  • Assist HR Manager in annual performance appraisals process

The duties and responsibilities set forth above are not exhaustive and the role holder may be required to perform additional duties requested by the Line Manager.

Requirements:

  • Bachelor's degree in a related field
  • Minimum experience of 1 years in same or similar role in an NGO.
  • Proficiency in MS Office (Excel, Word, etc.)
  • Fluency in Arabic and good command of English
  • Legal right to work in Gaza
  • Residence in or near the advertised duty station
