Human Resources Assistant
CONTEXT

Médecins Sans Frontières is running a reconstructive surgery program in Amman, which opened in 2006, is giving access to reconstructive surgery (orthopedic, plastic, and maxillo-facial) to war-wounded people providing comprehensive health care, MSF aims at identifying and referring patients from neighboring countries (Iraq, Yemen, Syria, and other countries with conflicts) then ensuring their medical follow-up after discharge.
Médecins Sans Frontières Reconstructive Surgery program in Amman is seeking a (1) HR Assistant for a Full-Time contract.
SCOPE OF RESPONSIBILITIES
Execute administrative, HR and legal related tasks to support the Project HR Manager following MSF standards and procedures, to ensure legal compliance and to realize the HR capacity required to achieve project objectives
ACCOUNTABILITIES
- Under supervision of the Project HR Manager managing personnel files to ensure accuracy and compliance; Updating the HR database and personnel files to facilitate HR processes management
- Fill in and update various HR work files related to recruitment, disciplinaries etc
- Leaves follow up; Tracks outstanding annual leaves entitlements in MSF HR software and communicates to staff about their annual leave balances
- Preparing monthly payroll for all staff, editing and updating the necessary data on a weekly basis as received, to ensure the punctuality and accuracy of staff payroll.
- Updating Social Security Tax Office files to meet legal requirements including specific amendments when necessary to ensure local labour and fiscal law compliance. Helps to prepare letters to local authorities (i.e. tax offices, ministry of labour), in English and Arabic
- Presents and explains the terms of contract and the content of Internal Regulation (rights and obligations) to newly recruited personnel
- Preparing employment contracts in conformity with legal requirements including specific amendments when necessary to ensure local labour and fiscal law compliance.
- Following up on all expiring staff contracts and informing the Project HR Manager to leave enough time to discuss with relevant department managers. Tracks end of probation periods and contract dates and bringing them to the attention of the Project HR Manager
- Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project HR Manager in translating documents into local language.
PROFILE
- Required bachelor’s degree in business administration or related Studies
- Preferably 2-3 years of proven experience in similar functions
- Essential: computer literacy (word, excel, and internet)
- Fluent spoken and written English and Arabic required
- Essential: Expertise in latest version of Microsoft Operating System and business applications (Office365)
- Desirable previous experience with MSF or other NGOs in developing countries
- Required Competencies (Results and Quality Orientation; Teamwork and Cooperation; Behavioral Flexibility; Commitment to MSF Principles; Stress Management)
Contract:
- Full-time - 100% Activity Rate
- Fixed-term national contract, renewable.
- Position based in Amman
